PA / Office Manager
Bouygues Energies & Services Contracting - Bristol
Bouygues E&S Contracting are looking to recruit a PA/Office Manager to work for us from our vibrant office in Bradley Stoke. Supporting the Project Director and his team, this role will encompass a wide range of Administration, PA, Secretarial and Office Management duties.
Duties
- Organising the Project Director’s schedule: booking and coordinating travel, setting up meetings etc.
- Coordinating the correspondence between the project office and the customer using CEMAR and correspondence between the project office and subcontractors
- Taking minutes and following up on actions
- Expenses – completing and following up on business expenses
- Ensuring a good stock of office supplies in the kitchen and stationery cupboard
- Liaising with office vendors and service providers i.e. cleaners, estate agency
- Setting up accounts with office vendors and service providers – including price negotiations, such as catering, cleaning,
- Maintenance of office condition and arrangement of necessary repairs, improvements and changes
- Coordinating office moves and refurbishments
- Active participation in H&S matters – including being a first aider and fire marshal
- Creating new suppliers for SAP and following up on certain financial tasks
- Booking national and international travel ensuring that costs are in line with the travel policy
- Assisting with meetings – arranging travel and hotels for guests, catering, taxi services
- On boarding of new staff members, including initial inductions and follow ups
- Work with HR to coordinate staff hiring, interviews and follow up

Essential Requirements
- Previous experience in a similar role
- MS Office experience
- Organisational skills
- A talent for team relationship building
- Problem solving abilities
