PA & Office Manager
Bouygues Energies & Services Contracting - Bristol
Bouygues Energies & Services Hinkley Point C (HPC) team has an exciting opportunity available for an Office Manager/PA to be based from our Bristol office in Bradley Stoke.
We have been awarded a Turn-key EPC contract for the HPC new build nuclear power plant Emergency Diesel Generators. You would be reporting into the Project Director and providing administration support to the team.
Job Purpose & Scope:
To support the Project Director with administrative duties and to ensure the efficient and high standard running of the office.
The Role:
Personal Assistant Tasks:
- Organising the Project Director’s, and Technical Manager’s schedule: booking and coordinating travel, setting up meetings etc
- Coordinating the correspondence between the project office and the customer using CEMAR and correspondence between the project office and subcontractors via the project mailbox
- Taking minutes and following up on actions
- Expenses – completing and following up on business expenses
- Collating monthly report data
- Assisting with any ad-hoc tasks as required by the Director
Office Management Tasks:
- Ensuring a good stock of office supplies in the kitchen and stationery cupboard
- Liaising with office vendors and service providers i.e. cleaners, estate agency
- Setting up accounts with office vendors and service providers – including price negotiations, such as catering, cleaning
- Maintenance of office condition and arrangement of necessary repairs, improvements and changes
- Coordinating office moves and refurbishments
- Meeting and greeting visitors
- Active participation in H&S matters – including being a first aider and fire marshal and COVID champion
Team Support Tasks:
- Creating new suppliers for SAP and following up on certain financial tasks
- Booking national and international travel
- Assisting with meetings – arranging travel and hotels for guests, catering, taxi services
- On boarding of new staff members, including initial inductions and follow ups
- Providing IT support as required
- Keeping track of attendance – monthly and annual
- Document Control cover
WIMS Coordinator:
- Take required people through the entire WIMS process (client’s site onboarding process) so they are able to access HPC site
- Respond to and complete actions on LC-9 audit requests from NNB
The person will ideally have:
- An excellent telephone and front desk manner
- Proficiency in Microsoft Office and IT
- Strong organisation skills
