We are looking for a HR Administrator to join our dynamic and inclusive HR Shared Service Team.  The role will be based in our head office close to Waterloo station and there will be the potential for an element of homeworking.

Our HR Shared Service Team provide a key HR administration support service across the business.  Typically you will be responsible for the administration duties including:

New starter process:

  • Issue contracts, offer letters and associated documents
  • Creation of internal Com.unity profile  
  • Right To Work checks
  • Setting up new starters on staff tracker  

New Starter Induction:

  • Conduct HR administration induction for new employees ensuring their familiarity with internal HR systems
  • Issue probation reminder notices / documents links as required inputting details into the Zellis system 

HR Admin:

  • Input AIP/Disciplinary dates into the Zellis system and ensure correct documentation is uploaded into document storage
  • Changes to employment – issue change letters & new contracts, request post amendments (if needed), action said changes once change form approval has been obtained
  • Termination process – issue termination correspondence once end date confirmed, handle all admin / input to off-board employee including completion of TOE forms and their approval
  • Input and maintain all data on Zellis to enable timely and accurate payroll processing within the timescales given
  • Send Exit Interview / Survey gathering links / emails as required to support off-boarding  
  • General queries – handle employee queries that relate to basic admin, payroll, systems or benefits only handing over to others if more in depth response is required  
  • Right to Work – ensure relevant checks are made and information is stored correctly in Zellis system
  • Ensure all employee documents are uploaded to Zellis in the required format for secure storage and GDPR compliance including bulk/mail merges etc., in a timely manner
  • Ad hoc duties – undertake additional duties as required i.e. printing / posting / processing PAF / Jury Service payments and preparation of bespoke letters  
  • Issue / collect all DBS checks in a timely manner 

In addition to the duties and responsibilities listed above, the job holder may be required to perform other duties assigned by their line manager from time to time, outside the normal sphere of work as may be reasonably requested. 
The job holder will be required to undertake such flexible and additional working hours as may be necessary, within reason, to facilitate the efficient fulfilment of the duties required by the position.
