We have a new opportunity for an FM Administrator to support our Broomfield Hospital contract. This is a PFI FM contract which we have managed from the beginning. The role will be key to assist in the development and delivery of administrative support functions within the defined areas of responsibility for the Broomfield FM Contract.

Key activities

  • Provide administrative support to the Management team including filing, photocopying, report binding, database maintenance, bookings and production of meeting minutes, etc
  • Organise meetings and seminars ensuring all rooms and equipment are available.  
  • Carry out all administrative functions across contract ensuring high standards of presentation, consistency and accuracy
  • Order items using the MXES system, managing all order, delivery note and invoice paperwork, as required
  • Develop systems for recording the activity of all sub-contractors and suppliers, ensuring that the sub-contractor and maintenance schedules are kept up to date
  • To maintain the statutory inspection register
  • Will be required to develop and maintain contract related databases as required, supporting the Digital Champion in the roll out and familiarisation of site staff of digital initiatives
  • Assist in the administration of budgeting and financial management aspects of the contract
  • Manage the stationery, office suppliers, uniform and PPE requirements for the contract, as required
  • Assist in the production of reports, presentations, correspondence and tender documents
  • Assist in the design and implementation of all management systems for the administrative function within the Broomfield Hospital FM agreement.
  • Support the Helpdesk as required

Skills, qualifications & experience

  • Previous experience of using a CAFM system is a requirement 
  • Experience in building and maintaining client working relationships 
  • Must be proactive with a flexible attitude when dealing with client and colleagues
  • Must have excellent communication and organisational skills
  • Will have a high level of IT skills with experience in Word, Excel and databases
  • Must be able to use own initiative and work under pressure, whilst maintaining attention to detail
