Document Controller
Axione - Glasgow
We are looking for an experienced document controller to support the efficient control of documentation and administrative processes, this role will be based from our office in Glasgow. Axione use 4Projects as our core document control system.
Axione UK is undertaking a commercial investment, to deploy a full-fibre network across small towns and villages, offering access to its infrastructure and services to Internet Service Providers, operators and channel partners who address all types of end-users (residential users, businesses, public sector organizations, smart city applications and mobile operators).
The Document Controller will:
Assist Design Mangers in the design approval process, especially with regards to managing technical documents.
Administer our document control system (4Projects), including updating folder structures, custom fields, lists of users, workflows etc.
Administering access rights and permission levels on 4Projects, and ensure users have the right level of knowledge of procedures and protocols when using the tool.
Liaise with the project team about to registration, flow, closure, dispatch and filing of any documentation produced, including but not limited to: RFI, NCR, MS, PTS.
Maintain Project Matrices, List of Authorised Codes and Templates up to date to reflect the latest changes.
Create placeholders for the deliverables on 4Projects, as required by the Design Manager(s) who will provide with the confirmed and approved list of deliverables.
Coordinate with the Design Manager(s) which set of documents forms part of the relevant package and link the content of each approved design package to a respective location on the Collaborative Tool / Data Base ( Static Virtual Containers or Dynamic Virtual Containers)
Liaise with the Project Assistant(s) and with Design Manager(s) with regards to any Correspondence & non-Technical Documents that form part of the packages that the Document Controller is required to collate within the respective location on the Collaborative Tool / Data Base.
Assist Design Manager with monitoring the performance of the Design Team including preparation and dispatch of project reports to the relevant team members and other parties.

Good Document Control knowledge
Good IT skills (MS Office)
Capacity to work effectively within a team environment
Systematic problem solving ability
Organisational skills (prioritising tasks, respecting deadlines, methodical approach)
Desirable:
Previous experience with 4Projects
Familiar with various web based document management systems
