Apprentice Site Administrator
Bouygues UK - Camden
Job Purpose and Scope:
Provide full support to the Project Director and to the wider site team. Based on site, the Site Administrator is responsible to assist the project team by doing the control of documentation* and administrative processes in accordance with Project Specific and Company Procedures. She is also responsible for providing a complete administration function for the project to ensure the Site office is run efficiently. Responsible for ensuring the whole office is tidy and presentable at all times.
Accountabilities and key tasks:
• Dealing with incoming and outgoing post
• Assist in the preparation of documents for presentation (monthly progress and finance reports), site presentations, client, visits and etc.
• Full diary management of the project director
• Setting up internal meetings and preparing agendas
• Maintain stock levels, order stationary, office and kitchen consumables
• Contracts / QS support: Assist with Subcontract documentation ie Typing outgoing letters, filing, scanning and copying of contracts.
• Uploading information’s into 4Project database conforming to all Bouygues Protocols (listed in Bouygues user guide)
• Maintain a filing system, including photocopy reports and correspondence
• Reception of external visitors
• External communication: Preparation of the newsletters & Project Website maintenance (if it is the site responsibility)
• Assist for the set up of office equipment i.e. photocopiers and further IT requirements, and etc.
• Facilities for new team member – allocating desk, server rights and etc.
• Assist in the management of the process of handover information – O&M Manuals and H&S files
• Support the Project Design and M&E Manager where assistance may be required (printing and organizing testing certificates)
• Update organization and holiday chart
Essential & Desirable Criteria:
Essential
Good IT skills (MS Office)
Math’s and English – GCSE or equivalent (Level 2)
Capacity to work effectively within a team environment
Organisational skills (prioritizing tasks, respecting deadlines, methodical work)
Flexibility with changes to tasks and duties
Multi-tasking
Ability to cope under pressure
Problem solving and decision making
Fluent written and spoken English
Desirable
Previous experience with 4Projects
Familiar with various web-based document management systems
Knowledge of file validation – Experience of examining documents, drawings ect from a non-technical basis
Previous document control experience would be an advantage
